If you include such information voluntarily, you consent to us processing it for the purpose for which you provided it.
2.2 Information we collect from other sources
For candidate sourcing we may collect professional information from publicly available sources, such as professional networking sites (e.g. LinkedIn), company websites, industry publications and job boards, and from referrals and references. We only collect information relevant to assessing professional suitability for roles.

3. How we use your information and our legal bases

We do not use your personal information for solely automated decision-making that produces legal or similarly significant effects on you.
4. How we share your information
We do not sell your personal information, and we do not share it for cross-context behavioural advertising (as those terms are defined under California law).
We share personal information only as follows: – With clients (for candidates): we share a candidate’s profile and assessment notes with prospective employers in connection with a specific role. We will normally discuss the role with you before submitting your details to a client. – With candidates (for clients): we may share limited information about a client and role with candidates in order to recruit for it. – Service providers (processors) who act on our instructions, including: – Web3Forms — third-party form-processing service that receives contact-form submissions from the Site and forwards them to our email inbox; – Hostinger — website hosting provider; the Site uses LiteSpeed Cache (server-side caching) on Hostinger’s infrastructure; – email and productivity providers, customer relationship management (CRM) and applicant tracking tools, calendar/video-conferencing tools, and analytics providers (if enabled); – professional advisers (lawyers, accountants, insurers). – Legal and safety: where required by law, regulation, court order or to protect our rights, property or safety, or that of others. – Business transfers: in connection with a merger, acquisition, restructuring or sale of assets, subject to confidentiality protections.
5. International transfers
We operate across the United States, the United Kingdom and Canada, and our service providers may process data in these and other countries. When personal information is transferred out of the UK or the European Economic Area to a country without an adequacy decision, we rely on appropriate safeguards such as the UK International Data Transfer Agreement or Addendum, the EU Standard Contractual Clauses, or the UK–US Data Bridge / EU–US Data Privacy Framework where the recipient is certified. For Canadian residents, information may be processed outside Canada and may be accessible to law-enforcement and national-security authorities of those jurisdictions. You may contact us for more information about the safeguards we use.
6. How long we keep your information
We retain personal information only as long as necessary for the purposes described above: – Contact-form and enquiry data: up to 24 months after our last interaction, unless it becomes part of a client or candidate record. – Candidate records: generally up to 3 years after our last meaningful contact with you, so that we can consider you for suitable roles and administer placement guarantee periods, unless you ask us to delete them sooner. – Client and contractual/financial records: for the duration of the relationship and up to 7 years afterwards, to meet tax, accounting and legal requirements. – Website analytics data: as set in the relevant tool’s settings (typically no more than 26 months).
[PLACEHOLDER: confirm retention periods with legal counsel.]
7. Security
We use reasonable technical and organisational measures to protect personal information, including encrypted (HTTPS) connections to the Site, access controls and reputable service providers. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If we become aware of a data breach that affects you, we will notify you and the relevant regulator where required by law.
8. Children
The Site and our services are intended for businesses and working professionals. We do not knowingly collect personal information from anyone under 16 (or under 18 where required). If you believe a child has provided us information, contact us and we will delete it.
9. Your rights
Depending on where you live, you may have some or all of the rights below. To exercise any right, email contact@thesalesvantage.com. We may need to verify your identity before acting on a request. We will not discriminate against you for exercising your rights.
9.1 United Kingdom and European Economic Area (UK GDPR / EU GDPR)
You have the right to: access your personal data; have inaccurate data corrected; have data erased; restrict processing; data portability; object to processing based on legitimate interests (including profiling) and to object at any time to direct marketing; and withdraw consent at any time where we rely on consent (without affecting earlier processing). We respond within one month (extendable by two months for complex requests).
You also have the right to complain to a supervisory authority. In the UK this is the Information Commissioner’s Office (ICO) — ico.org.uk, 0303 123 1113. In the EEA, contact your local data protection authority. We would appreciate the chance to address your concerns first.
[PLACEHOLDER: if required, insert ICO registration number and UK/EU representative details.]

This section applies to California residents, including job applicants, candidates and business contacts.

- How to submit a request: email contact@thesalesvantage.com with the subject “California Privacy Request”. You may use an authorised agent, who must provide signed written permission; we may still verify your identity directly. We will confirm receipt within 10 business days and respond within 45 calendar days (extendable by a further 45 days with notice).
- Global Privacy Control: where the Site uses non-essential cookies, we treat a GPC browser signal as a valid opt-out request for that browser.
Residents of other US states with comprehensive privacy laws (e.g. Colorado, Connecticut, Virginia, Texas, Oregon) may have similar rights to access, correct, delete and opt out, and to appeal our decision on a request. To appeal, reply to our decision email with the subject “Privacy Request Appeal”.
9.3 Canada (PIPEDA and applicable provincial laws)
We collect, use and disclose personal information with your knowledge and consent, except where otherwise permitted by law, and only for the purposes described in this policy that a reasonable person would consider appropriate. You may withdraw consent at any time, subject to legal or contractual restrictions and reasonable notice; withdrawal may affect our ability to provide services (for example, to put you forward for a role). You have the right to access your personal information and to challenge its accuracy and completeness and have it amended. We respond within 30 days. Our designated person accountable for privacy compliance can be reached at contact@thesalesvantage.com. 10. Marketing communications
We may send business-to-business communications about our services to client contacts where permitted by law (including the UK PECR, US CAN-SPAM Act and Canada’s Anti-Spam Legislation, CASL). Every marketing email includes a way to unsubscribe, or you can email us at any time to opt out.
11. Third-party links
The Site may contain links to third-party websites (for example, LinkedIn). We are not responsible for their privacy practices; please review their policies.
12. Changes to this policy
We may update this policy from time to time. The “Last updated” date at the top shows when it was last revised. Material changes will be highlighted on the Site or communicated directly where appropriate.
